5 Simple Steps for Flawless Printing Results

When you invest in printed materials, you want them to look as sharp and professional as they do on your screen. Yet, all too often, small mistakes in file preparation lead to blurry images, missing fonts, or unexpected layout shifts.

The good news? A little preparation can save you time, money, and frustration!

Avoid Costly Print Errors with These Easy InDesign Tips

By following these five simple steps in Adobe InDesign, you can ensure your finished piece is print-ready and free from errors. Your printer will thank you—and more importantly, so will your audience.

1. Package Your Files Properly

Start by selecting File > Package in InDesign. This step will compile all necessary elements into a single folder, ensuring your printer has everything needed to produce a flawless print job.

  • Check for errors using the Preflight panel – If you see a warning triangle, address any issues before proceeding.

2. Save Your Files in an Organized Folder

In the Package Publication dialog box, specify where you want to save your packaged files.

  • Give your folder a clear name – This makes it easy for both you and your printer to locate the correct files.
  • Ensure all necessary assets are included – Missing elements can cause delays and unexpected print issues.

3. Copy Fonts and Linked Graphics

Fonts and images are often the biggest culprits behind print mishaps. When you package your file, InDesign will prompt you to copy these assets into the package folder. 

  • Save fonts in the “Document Fonts” folder – This prevents font substitutions that can alter your design. 
  • Ensure linked graphics are included – Confirm that all graphic links are up-to-date and pointing to high-resolution images. InDesign will create a subfolder named “Links” for easy access.

4. Manage Hyphenation and External Dictionaries

To avoid unexpected text breaks or formatting shifts when your printer opens the file, manage hyphenation settings carefully.

  • Use sparingly – Only use hyphenation exceptions if absolutely necessary to maintain proper text flow. Excessive manual hyphenation can cause formatting inconsistencies.
  • Avoid linking to external dictionaries – Linking to external dictionaries can cause unexpected changes when opening the document on another computer.

5. Include a Print-Ready PDF

Even though you’re sending a packaged InDesign file, it’s always helpful to include a PDF for reference. This allows your printer to see exactly how the final product should look.

  • Use the correct PDF preset – Select File > Export and choose Press Quality or PDF/X-1a for optimal print results. These presets are specifically designed for high-quality print production and include the necessary color management, resolution settings, and font embedding.
  • Check your PDF before sending – After exporting, open the PDF to ensure that fonts, colors, images, and layout appear as expected.

Click Submit with Confidence

Say goodbye to messy re-dos of fonts, graphics, and images—and hello to your original masterpiece.
